As per NDIS guidelines, cancellations or reschedules to appointments must be received with 2 clear business days prior to the scheduled appointment date and time, otherwise a cancellation fee of 100% of the session cost is applied.
For consistency in our practice, this cancellation guideline is applicable to all Littleversity clients (including self-funded, NDIS self-managed, NDIS plan-managed and Third-Party paid, and clients using private health or Medicare rebates).
For NDIS-funded clients, if you do not approve the cancellation fee being charged to your child's NDIS plan, the cancellation fee will be charged to, and must be paid by, you.
Please refer to the NDIS Pricing Arrangements and Price Limits 2024-25 guide for more information.
- When possible, cancellations/reschedules should be shared in writing, via email or SMS.
- Cancellations or reschedules received less than 48 hours (i.e., 2 clear business days) before the time of your appointment incur a 100% cancellation fee.
- Failure to attend an appointment without providing prior notice incurs a 100% cancellation fee.
- Travel fees will no longer apply to sessions that are cancelled/rescheduled with notice (to the original date and time of appointment; travel fees are still applied to a rescheduled date/time), and where a clinician has not travelled to the agreed appointment location.
- If a clinician has travelled to the agreed location to provide services as per a scheduled appointment (that has not received prior cancellation notice), cancellation fees of 100% may be applicable to the cost of the sessions AND the travel completed.
- If a medical certificate can be provided within 48 hours after the missed appointment, which demonstrates an inability to attend due to ill health, we may, in our sole discretion, agree to waive all or part of your cancellation fee.
- Other reasonable discretion may be applied to cancellations and reschedules, and the cancellation fees may be waived, or reduced.
Non-attendance to sessions (e.g., child absent from school without notice, or you and your child are not at home/negotiated location at the time of the scheduled appointment) will be treated as a cancellation and managed as per the above fees and terms.
Additionally:
- In the event of repeated non-attendance (3 or more consecutive sessions, particularly without a medical certificate or other supporting evidence), we reserve the right to discontinue services.
- Regular non-attendance to sessions (including if notice is given i.e., sporadic attendance to sessions) may result in that session timeslot being discontinued for you/your child, or offered to another client on the wait list.
- We cannot guarantee that your preferred appointment timeslot/day/location will continue to be an option/available upon re-commencement of services.
